Mobile interface design for streamlined event access management

The Brief
Backstage2 already provided a comprehensive desktop system for managing event access and attendee data. However, it was not optimised for mobile use, creating friction for staff responsible for scanning and verifying attendees at entry points.
The objective was to design a dedicated mobile experience that distilled essential workflows from the desktop platform into a fast, intuitive interface suitable for use on the move.

The solution needed to support quick attendee verification, clear information hierarchy, and efficient workflows within fast-paced event environments.

Extending an Existing Platform for Mobile
The mobile experience was designed as a direct extension of the established Backstage2 system, ensuring consistency with existing patterns while rethinking interaction design for handheld use.

The focus was on simplifying key workflows, improving legibility in outdoor/event conditions, and reducing cognitive load for staff operating in high-pressure environments.

A light and dark mode system was also introduced to support usability across varying lighting conditions, reduce eye strain during extended shifts, and improve battery efficiency on mobile devices used throughout long event days.
UI Components
This component system brings together the core building blocks of the Backstage2 interface into a consistent, reusable UI library. Designed for speed and clarity in high-pressure event environments, the components prioritise quick recognition and ease of interaction across key actions such as login, search, scanning, and guest verification. Each component was optimised for rapid recognition and minimal interaction effort, supporting efficient decision-making in high-volume entry scenarios while ensuring consistency across the broader platform.
outcome
The resulting app design extends the functionality of the existing Backstage2 platform beyond desktop, providing event staff with a more flexible and accessible way to manage gate entry. By translating complex workflows into a streamlined mobile experience, the design supports faster attendee processing and a smoother, more efficient experience for both staff and guests. The solution was successfully deployed at its first live event, supporting approximately 10,000 staff, crew, artists, and attendees, and validating the effectiveness of the mobile-first approach in real-world, high-pressure conditions.
